Privacy notice

This notice explains what we do with the personal information you give us, why, and what rights you have over it. It is written to be read rather than to be skipped.

Who we are

Thames Flood Risk Advisory is the data controller for the information described here. You can reach us at hello@thamesfra.co.uk.

What we collect

When you use the enquiry form we collect your name, email address, the site address or postcode you give us, your telephone number if you choose to provide it, and whatever you write in the message box. If you email or call us instead, we hold whatever you send.

If you go on to instruct us, we will hold the project information needed to do the work — drawings, surveys, correspondence with your planning authority — along with the billing details required to invoice you.

Why we hold it, and on what basis

  • To answer your enquiry. Our lawful basis is legitimate interests: you have asked us a question and we cannot answer it without your details.
  • To carry out work you have instructed. Our lawful basis is performance of a contract.
  • To meet our legal and accounting obligations. Our lawful basis is legal obligation.

We do not use your details for marketing, and we do not add enquirers to a mailing list.

Who else sees it

Enquiries submitted through the form on this site are delivered to us by Web3Forms, a form-delivery service, which passes the message to our email provider and does not retain it for its own purposes. Our email and file storage are provided by third-party suppliers under contract.

Where a report is prepared for a planning application, the report itself is submitted to your local planning authority and normally becomes part of the public planning record. Personal information is kept out of the published documents wherever it is not required.

We do not sell personal information, and we never will.

How long we keep it

Enquiries that do not become projects are deleted within twelve months. Project records are kept for six years after completion, which reflects the period during which a professional claim could be brought and the retention required for tax purposes.

Cookies and analytics

This website sets no cookies and runs no third-party analytics, advertising or tracking scripts. There is no consent banner because there is nothing to consent to. Our hosting provider keeps standard server logs, which include IP addresses, for security and troubleshooting.

Your rights

Under UK data protection law you can ask us for a copy of the information we hold about you, ask us to correct it if it is wrong, ask us to delete it, ask us to restrict how we use it, and object to processing carried out on the basis of legitimate interests. Write to hello@thamesfra.co.uk and we will respond within one month.

If you are not satisfied with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113. We would rather you came to us first so we can put it right.
